Most internal tools fail for a simple reason: they model the org chart instead of the work. People then keep their spreadsheets, and the new system becomes another place to copy numbers at the end of the week.

Watch the exceptions

Happy-path forms are easy to draw. The product is in the exceptions — rush orders, partial deliveries, a customer who pays differently, a clinician who needs a note that does not fit the template. We spend discovery time on those edges because they are where software either earns trust or gets bypassed.

Make the default path faster than the workaround

  • Capture data once, as close to the event as possible.
  • Show people the next action, not a dashboard of everything.
  • Prefer fewer screens with clear states over a maze of optional fields.
  • Keep audit history visible so teams do not maintain a shadow record.

When the official path is the fastest path, adoption stops being a training problem. It becomes the way the company already prefers to work.
